Lesson 26 showed how to raise the other person. This lesson shows the other half of 敬語: humble language (謙譲語), which lowers you and your group so that the other person stands higher. It is the language of introductions, client meetings and — above all — the office telephone. Again, the goal at N4 is to recognise the forms and to use the set phrases with confidence.
Special humble verbs
| Normal verb | Humble | Example |
|---|---|---|
| 行く / 来る | まいる | あした十時にまいります — I’ll come at ten tomorrow. |
| いる | おる | 五時まで会社におります — I’ll be in the office until five. |
| する | いたす | すぐ確認いたします — I’ll check right away. |
| 言う | 申す | リーと申します — My name is Lee. |
| 聞く / 行く (to someone’s place) | 伺う | ちょっと伺いますが… — May I ask …? |
| 見る | 拝見する | 資料を拝見しました — I have read the materials. |
| もらう / 食べる | いただく | お土産をいただきました — I received a gift. |
| ある / です | ござる / でございます | トイレは二階にございます (N5 lesson 24, recognition) |
You met まいります and ございます in station announcements in N5 lesson 24 (電車がまいります). Now you can use まいります yourself — about your own movements.
お / ご + ます-stem + する
For most verbs, the humble pattern is お + ます-stem + する (or いたす): 持つ → お持ちします — “I’ll carry it (for you).” 待つ → お待ちしております — “We look forward to seeing you.” 知らせる → お知らせします — “We will let you know.” With Chinese-origin する-verbs: ご案内します — “I’ll show you the way.” ご連絡いたします — “I will contact you.” It only works for actions that affect the other person: you can’t say お読みします about reading a book for yourself.
Inside and outside: talking about your own manager
This is the rule that surprises learners most. When you talk to someone outside your company, your own manager is part of “your side”, so you use humble language and no さん: 山下は今、席を外しております — “Yamashita is away from her desk at the moment.” Inside the company, to a coworker, you say 山下さんは今、席を外していらっしゃいます or simply 山下さんは今いません. On the phone to a client, 山下部長はいらっしゃいません ✗ is a classic mistake; 部長の山下はただいま不在です ✓.
| Talking to … | About your manager Yamashita | Meaning |
|---|---|---|
| a coworker (inside) | 山下さんは会議室にいらっしゃいます | Ms Yamashita is in the meeting room. |
| a client (outside) | 山下は会議中でございます | Yamashita is in a meeting. |
| a client (outside) | 山下が戻りましたら、お電話いたします | When Yamashita is back, she’ll call you. |
Answering the office phone
An original example. Lee works at a small trading company,
Lee: Thank you for calling Sakura Trading. This is Lee speaking. Caller: This is Mori from Minami Electric. Is Mr Yamashita, the department manager, in? Lee: I’m very sorry. Yamashita is away from his desk at the moment. He is expected back at three. Caller: I see. Then could he call me when he’s back? Lee: Certainly. I’ll tell Yamashita to call you when he returns. Just to be sure, may I ask your phone number once more? Caller: 03-1234-5678. Lee: 03-1234-5678, Mr Mori of Minami Electric. I’ve got that.
Phone phrases to learn by heart
| Phrase | Meaning |
|---|---|
| お電話ありがとうございます。〜でございます | Thank you for calling. This is … |
| 少々お待ちください | One moment, please. |
| ただいま席を外しております / ただいま不在です | He / she is away from the desk / out at the moment. |
| 戻りましたら、お電話いたします | I’ll have them call you when they’re back. |
| もう一度お願いします | Once more, please. |
| 恐れ入りますが、お名前を伺ってもよろしいですか | Excuse me, may I ask your name? |
| 伝言をお願いできますか | Could I leave a message? |
If you don’t understand a caller, it is completely fine to say 申し訳ございません、もう一度ゆっくりお願いできますか — or to ask a Japanese coworker to take over: 少々お待ちください。日本人の担当者に代わります. Writing the number down and reading it back is always professional.
New kanji: 不, 度, 計, 立, 力
不 means “not”: 不在 (ふざい, absent), 不便 (ふべん, inconvenient), 不安 (ふあん, worry — 安 is from N5). 度 is a time or a degree: 一度 (いちど, once), 今度 (こんど, next time), 温度 (おんど, temperature). 計 is to measure: 時計 (とけい, clock), 会計 (かいけい, paying the bill). 立 is to stand: 立つ (たつ), 役に立つ (やくにたつ, to be useful). 力 is strength: 力 (ちから), 協力 (きょうりょく, cooperation).
Common mistakes
- Honorifics for your own manager to an outsider: 山下部長はいらっしゃいません ✗ → 山下はただいま不在です ✓.
- Humble verbs for the other person: お客様がまいりました ✗ → お客様がいらっしゃいました ✓.
- お〜する for something that doesn’t affect the other person: 私は本をお読みします ✗.
- Saying はい、はい and hanging up without reading back the number or name.
- Mixing 伺う (I ask / I visit) with 伺ってください: you never ask the other person to do something humbly.
How to practise
- Write your self-introduction for a client: はじめまして。〜と申します。〜からまいりました。どうぞよろしくお願いいたします.
- Practise the phone dialogue aloud, taking both parts, and write the message on a note.
- Write 不, 度, 計, 立 and 力 on the worksheet and do the exercises.

Frequently asked questions
Why do I talk about my own manager without さん?
In keigo, what counts is inside and outside. To someone outside the company, your manager is on your side, so you lower them together with yourself: やましたは今おりません. Inside the company, to a coworker, you use さん and honorific language as usual.
What if I don’t understand the caller?
Say もうしわけございません、もう一度ゆっくりおねがいできますか, write the name and number down and read them back. You can also ask a Japanese coworker to take over: しょうしょうおまちください.
Is いただきます before meals the same word?
Yes. いただく is the humble verb for to receive and to eat. Before a meal it means I humbly receive this food.
Do I use humble language with friends?
No. Humble and honorific language are for customers, clients, superiors and formal situations. With friends and close coworkers, use the plain or です/ます style.
